The way Snoofa handles vendor paperwork is changing.
Up until now, a single vendor would only ever have one Presale Advice document or Settlement Statement per auction.
Even if they had items from multiple consignments (receipts) in a single auction, all of these items across the different consignments would be ‘bundled up’ into one Presale Advice document and one Settlement Statement.
However, this has now all changed so 1 consignment = 1 presale and 1 settlement.
This means that a vendor could have multiple different presale and settlement documents in the same auction.
Why have we done this?
It is now possible to add references to the vendor paperwork so a vendor can better differentiate between each consignment.
The common use case for this is a solicitor firm submitting multiple consignments for multiple different clients or deceased estates. They will need to know which deceased estate each presale and settlement refers to.
More information about this functionality can be found here.
What about all the historic documents?
Now this is where it gets slightly complicated. The changes outlined above are not backwards compatible, meaning we can’t split up all of the old settlement and presales into separate documents based on consignment number and allocate them separate numbers.
In the example below, we can see a client who has had four different consignments in a past auction.
The client had four different consignments, and all these lots fall under Settlement 8674.
Before Change
The client had four different consignments, and all of these lots fall under Settlement 8674, with a total value of £24,134.24.
After Change
After the change these consignments will br split into different settlement rows - see the four different consignment numbers in the left-hand CA column.
However, as it is not possible to create new settlement numbers retrospectively, each consignment will remain attached to same settlement number. This will not be the case from now on - each new settlement will have a unique number.
The amount in the total column will also be duplicated across the new separate settlement rows - each consignment will remain attached to same settlement total.
This amount is the total of all of that client’s settlement, not each individual settlement.
Again, this will not be the case from now on - each settlement will display its own total.
When you open the detail of the any historic settlements (irrespective of quantity of consignments attached) you won’t be able to update the settlement. You will see:
What to watch out for
If paying out any settlements that were generated before , double-check the settlement and the amounts to prevent duplicate payments.
So there you have it, those are the updates. If any of this isn’t clear, or if you have any queries, do get in touch on [email protected]
