What are Valuation Visits & How to Use

Auction Houses often do valuations at particular locations, for example on a deceased estate in the home. This new feature aims to make this faster and easier. Our new Valuation Visits feature enables the creation of visits to make paperwork so much easier and be able to convert what was a valuation item into a consigned item for entry into an auction. 


To use this feature, we first recommend creating the Valuation Visit, ideally prior to going to the location, or at the least prior to the specialist starting their valuing. You will find Valuation Visits within the Valuations menu.

 


You start by clicking the Add New Valuation Visit button. This will then ask you to add an existing or to create a new Client. In a very similar way to creating a new consignment. Then it will ask you for general information. 



This includes the 3 Type choices.  Taxation (a deceased estate value), Insurance (insurance valuations) and Sale (potential auction items). The rest of the information is what you would expect, such as a unique Visit Number, a Visit Name, date, location address and selecting which of your Specialists will be attending, as well as which Sections or Rooms the items  can be located in.


Once the Visit is created, it can be managed by clicking on it or choosing Manage from the Action menu. 



When managing a Visit, the main tool within it is the Add Visit's Record, which allows the Specialist to record each item, including estimates, images and which room / section it was in, along with being able to give it a category such as Jewellery.


The Categories can be edited and added to by going to System Settings > Item Categories. The room / sections can be edited and added to from within the Visits page. By clicking on the Manage Sections button.




Once a record is created and saved, it will be visible on the Visit's Records. Which lists the records you have created and allows you to email, print and even import records. Along with giving you other useful information. 



Importing records is another very useful feature we have built into this. In short it means you can import Visit's Records from CSV files / spreadsheets. 



There is a downloadable example CSV for you to view and use as a template, that you can find when you click the Import Records button, within a Visit.
